Government Documents Roundtable

of the Iowa Library Association

Minute of the Business Meeting
Annual Summer Workshop, July 15, 2005

Attendees: Becky Lutkenhaus (Chair), Brett Cloyd (Vice Chair), Cory Quist (Secretary Treasurer), Sarah Andrews, Maeve Clark, Beverley Elder, Marianne Mason

Report from the State and Federal Depository Programs: Cory Quist gave an update of the activities occurring in and around the State Depository and Marianne Mason discussed current FDLP issues. Cory mentioned that the State Depository was going to recruit a Librarian with digital archival experience to help expand and enhance Iowa Publications Online (http://publications.iowa.gov/). The number of documents born digitally continues to grow, while the acquisition of documents in a paper format declines; however, the number of government generated URLs continues to climb.

Marianne Mason reported that the FDLP survey issued in April of 2005 was trashed due to its ineffectiveness in collecting relevant data, new and improved surveys are expected. The date for the release of the National Catalog continues to be postponed but is in the works. On a positive note GPO has initiated a program that allows a depository to ascertain how many patrons are accessing PURLs through their OPAC. The University of Iowa has been taking advantage of the program and has enjoyed some very positive statistics. GPO continues to work at building a National Library, it should be noted that a good number of the Public Library of Des Moines federal document de-acquisitions have been claimed by the National Library.

Treasurer’s Report: We started with $1404.51; we received $125 in membership dues bringing us to a grand total of $1529.51. We are expecting a modest amount of additional revenue as membership dues are collected. It is not too late to become a new member or renew your membership in Iowa GODORT for 2005.  $5 is the annual fee and can be paid to the Iowa Library Association.

Nominations Committee: As GODORT Vice-Chair, Brett serves as Chair of the Nomination Committee. Currently, Brett plans to run for Chair and Cory plans to run for Co-Chair of GODORT for 2006. Volunteers to run for Chair and Vice-Chair, as well as the Secretary/Treasurer position, are encouraged. Responsibilities of these positions are outlined in Article 5 of the bylaws. Please contact Brett (brett-cloyd@uiowa.edu) if you are interested.

Award Committee: There was discussion of the newly formulated Awards Committee, as per GODORT by-laws the committee will consist of outgoing GODORT Chair Barb Corson, current Secretary/Treasurer Cory Quist, and a volunteer who in this instance will be Marianne Mason. The committee was created with the intention of developing an award that would defray the cost of attending an FDLP conference for a member. The Award Committee will work on a description and guidelines for the solicitation and awarding of the money. It is hoped that a draft of the award and the award process will be available for discussion at the Fall business meeting.

Marketing:  We are looking for way to expand GODORT membership. Brett suggested that we look into offering continuing education credits for attending GODORT workshops to librarians seeking certification through the State Library. Cory will contact Sandy Dixon at the State Library of Iowa to ascertain how this can be achieved.

It was suggested that GODORT sponsor a Library School student, the sponsorship would include free registration to a GODORT event and possibly travel expenses and lunch.

Maeve Clark and Sarah Andrews have volunteered to design a bookmark containing information about GODORT that could be circulated at library events.

GODORT’s ARCHIVE: All of the papers that have been generated by the roundtable will be organized and stored at the University of Iowa Library.

ILA Conference Business Meeting: It has been determined that in order to avoid unnecessary scheduling conflicts the GODORT business meeting at the ILA conference will continue to be held on the morning of Friday, October 21. According to the ILA conference schedule the meeting times will be between 7:30 and 8:25.

ILA Planning Retreat:  A reminder that the ILA Planning retreat is scheduled for November 11, 2005.

Upcoming Events (from the June newsletter):

GODORT at ILA: Events Finalized for the Fall Conference

GODORT is sponsoring a session titled “Moving Forward with Data-Driven Decisions from the Census” at the Fall ILA Conference. Beth Henning, the coordinator of the State Library's State Data Center program, will show participants how to use a variety of information products from the census, including the American Community Survey, to describe local communities and their needs. The American Community Survey is a new nationwide survey designed by the Census Bureau to provide communities with more timely information about how their demographic composition is changing. This survey will also be replacing the long form questionnaire in the 2010 decennial census. Please plan to attend and learn how the Census Bureau and the State Data Center’s data products can assist you.

GODORT will hold its annual breakfast/business meeting at the ILA Conference on Friday, October 21st from 7:30-8:25 a.m. During the meeting we will elect our officers and discuss our goals for the coming year, so please plan to attend. If you are interested in serving as an officer, please contact Nominating Committee Chair Brett Cloyd at brett-cloyd@uiowa.edu. If you are interested in participating in committee work, please contact Chair Becky Lutkenhaus at becky.lutkenhaus@uni.edu.

The 3-hour, hands-on workshops will cover uses of economic census data, the North American Industry Classification System (NAICS), economic census products, working with economic census data on the web, and annual business data from the Census Bureau. There will be time for exercises on the web and ample opportunities for questions and answers. The workshops are being hosted by the State Library of Iowa's State Data Center program and The University of Iowa Libraries.

Small business development centers, planners and economic development professionals, business associations and chambers of commerce, college faculty, government agencies, libraries, and local business media should plan to attend.

Iowa City: 9-noon, August 12, 2005
