WORDS FROM THE CHAIR

 

It was great to have a near record number of Iowa documents librarians (five) attend the Fall Depository Library Conference in Washington, D.C. this year.  To make it possible for more Iowa librarians to attend in the future, I am proposing that GODORT establish a scholarship to provide financial support to documents librarians attending Federal Depository Conferences or Council meetings.  The scholarship could be:

  • open to all Iowa librarians with priority to first time attendees and depository librarians
  • awarded periodically to accommodate GODORT’s cash flow issues
  • seed money matched by the employing library ($200?-$350?)

Since establishing awards/scholarships through ILA/GODORT is a formal process that may take a few months to accomplish, I wanted to float the idea here in preparation for discussions among members in 2004.

RE-CAP OF 2003 ACTIVITIES

 

The following is an excerpt from the Annual Report submitted to ILA on behalf of GODORT. The full Report will be available at the GODORT Website in the near future.

 

  • Completion of the Iowa State Plan for Federal Depository Libraries which can be found at http://www.lib.uiowa.edu/govpubs/iowaplan-rev03.html and on file with the Superintendent of Documents at the Government Printing Office, Washington, D.C. The Memorandum of Agreement signed by each Iowa depository library is on file with the Regional Librarian, Carolyn Kohler.
  • 18th Annual Government Documents Workshop at the Herbert Hoover Presidential Library and Museum was held on July 11, 2003 with speakers from the National Archives and Records Administration and National Park Service, and tours of the museum and historic site.
  • Two sessions were sponsored at the Iowa Library Association Annual Conference. On October 16th, GPO Access Database Specialists from Washington, D.C. provided two demonstration sessions of the newly redesigned database. On October 17th, a speaker from the Great Plains Office of the National Archives and Records Administration (NARA) spoke on genealogical research tools available at the NARA. This session was co-sponsored with the Local History and Genealogy Subdivision.
  • Carolyn Kohler’s many career accomplishments in documents librarianship were recognized through a courtesy resolution and the presentation of a plaque.
  • The GODORT Website was further developed.
  • Four quarterly electronic newsletters were published.

 

RECOGNITION OF CAROLYN KOHLER’S CONTRIBUTIONS

 

We couldn’t let Carolyn retire (June 2004) without acknowledging her many contributions to Iowa GODORT and documents librarianship. The following is the text of the courtesy resolution read and submitted at the business meeting during the October ILA Conference. 

Resolution

 

Whereas:          Carolyn W. Kohler, the Federal Depository Library Program’s regional librarian for the State of Iowa, has supported and coordinated depository state libraries.

 

Whereas:          Carolyn W. Kohler, a founding member of the Iowa Library Association, Government Documents Round Table, has provided leadership to Iowa library professionals of the government documents community.

 

Whereas:          Carolyn W. Kohler, a national leader of research and service initiatives, has served as a model for other government information providers.

 

Therefore:         The Iowa Government Documents Round Table commends Carolyn W. Kohler for 34 years of outstanding service.

 

A plaque and keepsake quality resolution were presented to Carolyn at a small reception in November.

Dear ILA/GODORT Friends,

 

Thank you all so much for the thoughtful resolution commemorating my years of activity in documents librarianship.  The plaque is lovely, and I will treasure both forever.  I regret very much that I was not able to attend this year’s meetings. 

 

One thing I am sure of in my up-coming retirement is that I will miss associating with such wonderful, dedicated people.

NEW FACE IN THE UI DOCUMENTS DEPARTMENT

 

The University of Iowa Libraries is pleased to announce that Amy Fuls has accepted the position of Interlibrary Loan/Government Publications Librarian, and will begin work on January 26th, 2004. This is a new position that will be a 60-40 split between Main
Library Access Services and the Government Publications Department.

Amy has a BA from
Iowa State University and a MA in from the School of
Library
and Information Science here at the University of Iowa. She has
worked for the last five years as a Library Assistant in the Main Library
Interlibrary Loan/Document Delivery Department.

NEWS FROM THE STATE DOCUMENTS CENTER

 

The list of the core state documents, which are sent to 32 document depository libraries around the state, has been updated.  To see the new list go to the State Library’s website at http://www.silo.lib.ia.us/. At the bottom of the page, click on State Documents Center and then at the bottom of that page you’ll find a link to the Core State Documents. 

 

As you can guess, the list has become a bit of a moving target since state agencies change their publications at an ever increasing rate, and decide not to produce a document in print any longer without any notification.

 

Most of the core state documents are still printed on paper, however, and they are all available on the web as well.  Links to the documents can be found on the Core State Documents page.

  1. Minutes of the business meeting held at the Hoover Presidential Library on July 11, 2003 were read.
  2. Treasurer’s report was given:  Balance -- 1/1/03 --   $1,228.94

  1. A discussion was held concerning the GODORT website.  It was suggested that

the IREN (Iowa Research and Education Network) site be investigated as a future new home.

  1. Carolyn Kohler retirement resolution was read and the plaque that will be        presented to her at her retirement party in June 2004 was passed around to the group.
  2. At the fall conference, GODORT sponsored two GPO Access workshops and co-sponsored with Local History and Genealogy a session on genealogical resources available at the National Archives in Kansas City.
  3. Election of officers:  vice chair/chair elect  Becky Lutkenhaus

                                              secretary/treasurer Brett Cloyd

            They were elected by unanimous vote.

  1. Annual planning retreat will be held November 7, 2003 at Neal Smith National           Wildlife Refuge.
  2. Kathy Parson will be leaving as our ILA liaison representative at the end of the year.
  3. A drawing was held for two books donated by the State Document Depository. 
  4.  Eleven people attended the GODORT breakfast.
