Please pass the GODORT Newsletter along! If there are employees in your library who are not members of ILA/GODORT, especially support staff, who work with government documents and would be interested in this information, please share it with them. Thanks!
Those of us at the State Documents Center are looking forward to seeing you at the GODORT Summer workshop. We love showing off our beautiful building, and we have lots more to show you, too. We think the program will benefit librarians from all types of libraries as we explore the kinds of government documents that are available to you here in the state capital.
We are also happy to be able to show you Iowa Publications Online, the archive for electronic state documents. The archive contains over 1,000 documents and it is growing rapidly. We’ll show you how you can add records and links to these documents to your catalog at very little cost.
See the section below for more information and for links to the agenda and registration form. Hope to see you there!

GODORT 2004 Annual Summer Workshop
Wear comfortable shoes and casual clothes to the July 9th, 2004 Iowa GODORT Summer Workshop.
During the workshop we will conduct a walking tour of the capitol area as we discover the many government document resources available in Des Moines. Places we'll see are the beautiful State Law Library, housed in the State Capitol building; the State Historical Society's library; the Genealogical Society's library; and the State Library's newly renovated building. Although we will be walking, the buildings are all within 2 ½ blocks of each other. Check the weather, you might need to bring an umbrella.
In the Law Library, we'll hear several speakers from the Legislative Services Agency discuss legislative documents and new ways to access them. Speakers at the Historical Society will tell us about their resources and we'll be able to compare those with the resources of the Genealogical Society, which are complementary. At the State Library we'll have a demonstration of the new Documents Depository Program's electronic archive, Iowa Publications Online. We'll finish the day with a brief business meeting.
Registration form and Agenda now available.
Invoices to State Documents Depository Libraries
The State Documents Center has gathered the prices for Iowa legislative materials and is preparing the invoices for the State Documents Depository Libraries. There may be a slight increase in cost over last year.
If you are a State Documents Depository Library, be looking for your invoice in the mail. If you do not wish to remain in the program, please return the invoice as soon as possible with that information noted. Thank you for receiving this vital information and making it available to all Iowans.

After existing as a gypsy, following one GODORT officer to the next, the GODORT archive have found a permanent home at The University of Iowa Libraries. Carolyn Kohler has approved ample filing cabinet space that can house the growing organization files.
The documents that comprise the archive range from listings of members and past officers, meeting minutes, workshop agendas, newsletters, and general documentation of Iowa GODORT activities from the early 1970’s to the present.
If you happen to have newsletters or other materials that might fill some holes in the Iowa GODORT records please send them to Brett Cloyd, the current GODORT Secretary/Treasurer for inclusion in the archive.

GPO Update at ALA Annual Conference
Many changes are taking place at the U.S. Government Printing Office. The GPO has invited directors of federal depository libraries to a special meeting at the ALA conference in Orlando on June 27 th. Judith Russell, Superintendent of Documents, will speak to the directors about the changes. Some of the interesting topics, with links to more information are:
Future of the GPO Sales Program
In March, GPO convened a meeting of representatives from the library community, federal agency publishers and the information industry to discuss the future of the GPO Sales Program. The basic objective of this meeting was to get advice and feedback on how to build a sustainable economic model for the GPO Sales Program that will generate $30 to $50 million in additional revenue for GPO annually. The model must be one that is acceptable to publishing agencies, complements free public access to government information through the Federal Depository Library Program (FDLP), and avoids inappropriate competition with commercial publishing. The report on the meeting is available at: http://www.gpoaccess.gov/about/reports/econmodel.pdf.
GPO will close its failing retail bookstores, which will generate savings of $1.5 million in the first year.
Collection of Last Resort
GPO has developed a draft plan for a collection of last resort – a secure “dark archive” that will become, over time, a comprehensive collection of tangible and electronic titles that will backstop the regional library collections and future shared repositories. In reviewing other initiatives, like JSTOR, it has become clear that multiple “light archives” are not sufficient to protect these assets. The highest level of assurance comes from a collection of last resort that – as the name implies – is not used unless all other resources have failed. Through this collection, GPO will support permanent public access to U.S. Government publications in all formats. The Collection will include preservation copies for tangible titles as well as preservation and access copies of digital objects. The draft plan is located at: http://www.access.gpo.gov/su_docs/fdlp/pubs/clr.pdf.
Digitization of the Legacy Government Documents Collection
GPO has made a commitment to collaborate with the library community to digitize the entire legacy collection of U.S. government documents – an estimated 2.2 million print publications totaling approximately 60 million pages – in order to make sure that those documents are available, in the public domain, for permanent public access. The intent is to make sure that the entire collection is digitized for preservation purposes, with a variety of access files derived from the digital preservation masters.
In March GPO hosted a meeting of experts on preservation digitization to discuss current specifications for the creation of digital preservation masters. The report on the meeting includes a proposed set of minimum specifications for digitizing documents from the legacy collection. The report is available at http://www.gpoaccess.gov/about/reports/preservation.pdf.
Shared Repositories
GPO is encouraging the movement toward shared repositories, or shared housing agreements, that allow libraries to eliminate some of the redundancy among their collections. Though still in the early stages, these initiatives are very important since they assure active preservation of the government documents collections in Federal depository libraries by moving toward a smaller number of comprehensive sets of tangible publications that can be more readily preserved. GPO contracted with the Center for Research libraries (CRL) for the development of a Decision Framework for Federal Document Repositories that can be used to evaluate the level of assurance provided by such repositories based on their physical characteristics, resources, governance and other factors. The discussion draft is available at
