 Words from the Chair

The annual GODORT business meeting was held on October 15th at the ILA Fall Conference. The agenda was full as we discussed several issues of interest and plans for the upcoming year. The minutes to the meeting are included in this newsletter.

A new year will bring new officers for GODORT. Officers were voted on at the meeting and for 2005 they will be:

Many thanks to Becky, Brett, and Cory for being willing to serve as officers next year. I know that they will make an energetic team and GODORT can look forward to a good year in 2005.

I would like to encourage everyone who is a member of GODORT to consider being an officer. It is a great way to meet and work with others who are interested in documents and, although a minimum amount of time is required, you can really feel like you’ve contributed to documents librarianship.

Barbara Corson, GODORT Chair

GODORT Activities at ILA

At the Annual ILA Conference on October 13-15, GODORT and its members were involved in a variety of activities:

GODORT, along with the Intellectual Freedom Committee and the Resources and Technical Services Forum, cosponsored Jayne Hitchcock who spoke on cyber-stalking at two well-attended sessions. In her presentation, “The Wild, Wild Web: Tools You Can Use”, Ms. Hitchcock talked about a wide range of internet and email scams, tricks and threats and discussed tools to keep you and your library patrons informed and safe from these problems.

Barbara Corson, Head of Technical Services at the State Library and also Chair of the GODORT sub-committee and Margaret Noon, Online Editor of Iowa Publications Online (IPO), gave the presentation “Community Access to State Documents: Iowa Publications Online”. The electronic depository now has over 1700 state documents.

Amy Groskopf, Archivist at the Davenport Public Library and GODORT member presented “Expose Your Collection – Digitize It”, a session about digitization for institutions with collections that cover some aspect of Iowa history and culture.

Barbara Corson, along with Jeanette Bobeen, Youth Services Manager at the Sioux City Public Library, and Wendy Street, Directory of the Pella Public Library, gave a talk about ABLE (American/Bulgarian Library Exchange) entitled “From the Danube to the Mississippi: Building an International Library Community”. They each presented their experience with the project and answered questions from the audience.

Minutes of the Business Meeting
ILA Conference, October 15, 2004

Attendees: Becky Lutkenhaus (Vice President), Barbara Corson (President), Brett Cloyd (Secretary/Treasurer), Margaret Noon, Mary McInroy, Amy Paulus, Connie McKnight, Karen Dole.

Treasurer's Report: As of September 30, 2004, the Government Documents Round Table balance was $1799.51. This did not yet take into account the money to be paid to Jayne Hitchcock for her presentations at the ILA Conference.

There was discussion of the proposed bylaw changes to create an Awards Committee. This new committee would meet to discuss a FDLP Conference Grant to be awarded by Iowa GODORT to an Iowa GODORT member. Attendees approved the addition to the By-laws (URL: http://www.lib.uiowa.edu/govpubs/ilagodort/bylaws.htm) (under Article VII, committees) but Becky will check with the ILA By-laws committee to confirm language is in accordance with other ILA organizations. It was felt that offering this grant might help increase membership in the group as members will get a chance to receive this money for professional development.

Brett discussed inviting Viviane Launay from UNESCO to the 2005 ILA Conference. Given the state of the budget and our hopes of coordinating with other organizations (including other ILA groups, the Iowa United Nations Association and possibly the Iowa City Foreign Relations Council), it was felt it would be good to go ahead and draft a letter to Ms. Launay and invite her to speak about UNESCO's work on the Millennium Development Goals. Upon review of ILA procedure, we will request the ILA GODORT Liaison to ILA coordinate the invitation for us.

Becky discussed plans for the 2005 Summer Workshop which will be in Cedar Falls next year. A speaker from the New Iowans program may be available to discuss that agency's work with welcoming immigrants to the state. Also, Chuck Grassley has provided a collection of his papers to the University of Northern Iowa and we might get to see these during the workshop.

In 2005, ILA GODORT members will try to work with ILA to ask the state legislature to provide some encouragement to state agencies so that they will participate in the Iowa Publications Online (IPO) database. On a related note, Barb told the group that IPO would be opened up to allow the regents institutions to include their documents. Barb is looking for contact people at the regents institutions. Brett and Becky said they would take the issue to their campuses.

Election of Officers: In 2005, Becky Lutkenhaus will be president. Brett Cloyd will be Vice President/President-Elect, and Cory Quist from the State Law Library will be Secretary/Treasurer.

The meeting was adjourned.
