Message from the Chair

Welcome to the first quarterly newsletter for 2006. This year, I am GODORT Chair and I look forward to working with GODORT members and the rest of the Iowa Library Association (ILA).

Chief among my goals is to increase awareness of government information as a valuable tool for everyone who works in Iowa libraries. Not a day goes by when we don’t hear about a government report addressing current events. Historically, reports and documents from government sources provide a rich source of primary research material. To best serve the information needs of our users and communities, we need to be more familiar with these sources.

I recently attended an ILA Strategic Planning Retreat. One of the goals put forth was strengthening subdivisions. I believe our GODORT group can be more effective in meeting the needs of the Iowa library community. The GODORT executive board has put together a survey to get a better sense of how we can meet your needs and draw in new members. The GODORT Summer Workshop will be July 14, 2006 in Iowa City. Please mark your calendars. I hope you will be able to attend. I am working on a workshop agenda and will take feedback from those of you who fill out the survey to determine programming priorities.

Federal Depository Library Conference Award

We received no entries for the Federal Depository Library Conference Award. The award is intended to help defray the costs of going to a Federal Depository Library Conference meeting which is held twice a year - in the spring and fall. The GODORT Awards Committee and the Executive Board agreed to accept applications at the end of 2006 for meetings to be held in 2007. Here is some information about the 2007 meeting schedule to help plan for a future application.

Iowa Publications Online

Iowa Publications Online (IPO) http://publications.iowa.gov/ is a service of the State Library of Iowa and the State of Iowa Information Technology Enterprise. IPO is an electronic depository for digital state documents produced by any Iowa State Agency and made available to the public. This service allows Iowans and other users to access digital state documents online at any time.

IPO has two components, document submission and access to documents.

1. Document Submission = Any state employee responsible for the creation of digital state documents that are available to the public may register on the IPO system in order to deposit digital documents in the electronic archive. The process of depositing digital documents in the IPO system allows the user to add metadata to the digital document record; an abstract, keywords, subjects, dates, the creating agency, and others. The submitted record is reviewed by State Library staff and then added to the electronic archive. Staff catalog the documents in OCLC’s WorldCat and place a record for them in the State Library’s online catalog.

2. Access = Searching for a digital document in the IPO system is much the same as searching in any online library catalog. There is a simple and an advanced search method, both can be limited to any aspect of the metadata entries. There is a browse function that allows access to documents by department, subject or year. If you are searching in the State Library of Iowa online catalog there will be a link from the catalog record to IPO if the record is in the electronic archive.

Currently, there are already more than 3500 state documents available through the IPO, deposited by approximately 150 different Iowa State Agencies. The majority of the documents are reports and newsletters, and the formats used are pdf, html, and word doc. All of the records may be searched, browsed, downloaded, or printed by the public.

Spring Depository Conference in Seattle: “Future Scenarios”

2021: A Depository Odyssey. Dream up the future. What does government information look like? Is HAL in charge of your depository library? Why, why not? Are you Dave, out in the cold? What does your service look like? Your collections? What do you do in a typical day?

For the final session of the Spring 2006 meeting of the Depository Library Council in Seattle we'd like to hear from you. What's your "future scenario" for the Federal Depository Library Program, for government information?
