Office Manager (Administrative Services Coordinator (PAA1/2B)

This is a 10 month, Specified Term position. End date will be April 30, 2022.


The University of Iowa Libraries seeks an innovative, collaborative, and service-oriented professional to serve as Office Manager for the Network of the National Library of Medicine (NNLM) All of Us Community Engagement Center (CEC). The CEC is a national NNLM office administered by the National Library of Medicine (NLM) as part of the NNLM All of Us National Program, a partnership with the National Institutes of Health All of Us Research Program (All of Us) to raise awareness about the program, a landmark effort to advance precision medicine. Through this collaboration, the NNLM will support community engagement efforts by public libraries and other NNLM member organizations across the United States.


Reporting to the Associate Director of the CEC, the Office Coordinator provides administrative support to the CEC program office. The overall goals of the CEC are (i) to enhance the engagement of public libraries across the nation with the All of Us; and their ability to raise awareness and educate about the program – particularly in the National Institutes of Health (NIH)-identified and/or -approved communities; and (ii) to enhance the capacity of public libraries to support the health information needs of communities.


Specific job responsibilities and duties include: 


  • Oversees office procedures to ensure quality in meeting the policies and procedures of the University of Iowa and the National Library of Medicine;
  • Manages Confluence knowledge management spaces, ensuring team adherence to standard operating procedures
  • Serves as the central point of contact for the CEC office, managing the NNLM All of Us National Program shared email account and calendar. Responds to and triages incoming email;
  • Track expenditures in Excel using monthly financial reports;
  • Serves as a liaison between the CEC office and finance personnel in the University Libraries’ department;
  • Lists courses in a registration system and follows the correct procedure to ensure that continuing education is made available to course participants;
  • Manages exhibit equipment in the office, organizes outgoing and incoming mailings and maintains a spreadsheet of available equipment;
  • Manages stock of brochures for the CEC office, All of Us participant incentive items. Orders more stock when needed;
  • Creates and edit forms for award applications and final reports;
  • Maintains records for activity reports for the program;
  • Assists with planning and coordinating the All of Us Update meeting for the entire NNLM, including scheduling meeting, developing and disseminating meeting agendas and slides, facilitating meeting, and taking and publishing meeting minutes & recordings.
  • Manages subscriptions and coordinates access to software used by CEC staff.
  • Performs other related duties and participating in special projects as needed.


Required Qualifications:

  • A Bachelor’s degree or an equivalent combination of education and experience.
  • 6 months to 1 year minimum of administrative experience.
  • Demonstrated commitment to diversity, equity, accessibility and inclusion in an academic environment, workplace setting, and/or community.
  • Highly proficient using computer software, such as Microsoft Word, Outlook, PowerPoint and Excel.
  • Must be highly organized with an ability to efficiently store and retrieve departmental files and order and manage stock of materials.
  • Ability to provide basic troubleshooting on computer and printer issues and refer more complex issues to the appropriate division.
  • Strong oral and written communication skills.


Desired Qualifications:

  • Experience supporting a contract or grant.
  • Experience working in an academic environment, preferably in an academic library.

The hiring salary range for this position is $45,000 – $54,633 based on qualifications. This position will be posted through at least June 24, 2021 and may be removed from posting and filled any time after the original posting period has ended.
